What is AIxOffice?

AIxOffice is a business web application for companies that sell physical products — distributors, importers, promotional-products and workwear suppliers, wholesalers, and businesses that supply retail store networks. It brings their daily commercial operations into a single workspace: it consolidates product catalogs from many suppliers, builds priced customer offers, reads the business documents that arrive by e-mail, tracks stock and sales across retail branches, and sends finished orders to the company’s ERP system.

AI assistants are built into every part of the product. They search catalogs in natural language, read spreadsheets, PDFs and images, answer questions about stock and sales with exact figures, and automate recurring e-mail work — always inside each customer’s own private, permission-controlled workspace. The application is available in seven languages: English, Romanian, German, French, Spanish, Italian and Hungarian.

What AIxOffice does

Product catalogs from any source

Import supplier catalogs and price lists and consolidate them into one searchable product database with consistent attributes, images, prices and stock levels. Data can come from direct supplier connectors (Stricker, MidOcean, Gorfactory, XD Connects, Anda, Malfini, UTT, Portwest), from the company ERP, from Excel files and Google Sheets, from PDF catalogs read by AI, or from price lists that arrive as e-mail attachments. Column layouts are recognised automatically — there are no import templates to configure — and prices and stock refresh themselves on a schedule you choose, with your own markup, VAT and currency rules per catalog.

Offers and quotes

Build customer offers directly from the catalog — through classic search filters or by describing what you need to a built-in AI assistant. Pricing always comes from the catalog’s quantity tiers, your markup rules and the customer’s agreed discount; the assistant can also propose complete product packages within a budget. Finished offers export as branded PDF or PowerPoint documents in any of the seven supported languages, and every offer moves through a managed pipeline with states, owners, reassignment and e-mail notifications.

Customer records

Keep a registry of the customers offers are made for — addresses, contact details and standard discounts that apply automatically to every quote. For Romanian companies, entering the fiscal code (CUI) fills the record with verified details from ANAF, the public company registry of the national tax authority.

Business e-mail, understood

Much of B2B commerce still happens in e-mail: price lists, stock reports, orders and enquiries arrive as attachments. AIxOffice connects to mailboxes your organization chooses — Microsoft 365, Gmail or any IMAP server — and an AI analyst can search them, read messages and attachments (PDF, Excel, Word, images, scanned documents and design artwork), extract the business data they contain, and turn it into catalog entries, customer orders or retail-network records. Recurring work can be automated with rules described in plain language (“when the weekly stock file arrives, import it”), run on a schedule, with every action logged and duplicates prevented.

Retail network management

Track a network of retail branches — the stores, their stock on hand and their daily sales — imported from the Excel/CSV files retail partners already send, including automatically from e-mail. Ask questions in plain language (“which branches sold the most last month?”, “where is this product in stock?”) and get exact, server-computed tables and charts in reply.

ERP connectivity

AIxOffice synchronises products, prices, stock and images from the Pluriva ERP, and sends finished customer offers back to it as sales orders — no retyping between systems.

Careful, controlled AI

All AI assistants respect each user’s role and permissions, reply in the user’s language, and never invent figures — prices, stock levels and totals are always computed by the platform from real data. Organizations can optionally use their own OpenAI or Anthropic API key, and all AI usage is metered and attributable.

Connecting an e-mail account

AIxOffice can connect to a Gmail, Microsoft 365 or IMAP mailbox that your organization chooses, read incoming business messages, and extract the data they contain — supplier price lists, stock reports, orders and enquiries. This is what powers the e-mail features described above.

When the connected mailbox is a Gmail account, AIxOffice requests only Google’s read-only Gmail scope (gmail.readonly), together with basic profile information used solely to show which account is connected. We request no permission to send, delete or modify mail. AIxOffice’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Getting started

Each customer organization works in its own isolated environment with role-based permissions. Access requires an account provided by your organization; there is no public self-service sign-up.
